Certificate requests rarely stop, and handling them ad hoc pulls account managers away from clients. A simple workflow makes the volume manageable.
Use one intake channel
Route all certificate requests to a shared mailbox or a request form rather than individual inboxes. This makes requests visible and easy to track.
Separate standard from non-standard
Most requests can be issued from an approved master certificate. Requests involving additional insured status, waivers or special wording should be flagged automatically for a licensed reviewer.
Keep holder records clean
Maintain an up-to-date holder list for each client. It reduces errors and speeds up renewals when certificates need reissuing.
Track turnaround
Logging when each request arrives and when it is completed gives you a clear picture of workload and helps you plan staffing for busy periods.
